Manage Guests

Account managers and authorized users can invite guests for troubleshooting and general account support. Guests can be insightsoftware users or users from the customer's partner account (if applicable).

Note: Guest users do not consume licenses from the invited organization's license count.

Invite Guests

To invite a guest:

  1. Select your profile icon at the top-right corner, then select Invite Guests.
  2. In the Invite Guests pop-up, enter the email addresses of the insightsoftware or partner users you want to invite, separated by a comma, space, or tab.
  3. Select Add users.
  4. Optionally, configure the following permissions for the guest:
    • Select the Account Manager toggle to grant account manager privileges.
    • Select the Allow Invite Guests toggle to allow the guest to invite other guests.
  5. Select Invite User.

The invited user is added to the users list and identified with the Guest tag. You can remove a guest user at any time. For more information, see Manage Users and Licenses.

View Guest User Expiration

Guest access is valid for 90 days by default. To view expiration dates and manage access to organizations you have been invited to:

  1. Select your profile icon at the top-right corner, then select User Settings > Organizations. The list of organizations you belong to appears.
  2. Under Guest Organizations, review the Expires column to see when your guest access expires for each organization.
  3. Optionally, under Actions, select an option to leave an organization or switch to a different guest organization.

Note: Once guest access expires, the guest must be re-invited to regain access.

Renew Guest User Access

You can extend access for guests whose access is about to expire. When renewed, access is reset to the original period the guest was invited for.

To renew guest access:

  1. In the side navigation bar, go to Administration > Users & Licenses. The list of users appears.
  2. If any guest accounts are expiring soon, a renew guest user access notification appears at the top of the page. This notification stays until the guest's access expires or is renewed. Select Manage.

    Note: Guest users also receive an email notification when their access is about to expire.

  3. Renew access using one of the following options:
    • To renew a single guest, select Renew next to that user.
    • To renew multiple guests, select the users and then select Renew Guest Access.
